# Group Activity and Retention Policy

> When a group counts as inactive, the warning and deadlines that follow, how to keep your group, and what deletion removes.

> [!TIP]
>
> **Groups whose Organizer is on a paid plan or the Founder plan are never affected by this policy.**

If you run a group, signing in to WR-Games is usually all it takes to keep it. This policy only covers groups on the Free plan whose Organizer has stopped using WR-Games: no sign-ins and no new events for months. Here's why it exists, what happens and when, and how to stop it.

## Why This Policy Exists

WR-Games gives groups a lot for free. This policy keeps the group directory full of groups that are still meeting, so people looking for a game night find one that's running, not a page nobody has touched in months.

## When a Group Counts as Inactive

A group counts as inactive only when both of these are true:

* The Organizer hasn't signed in to WR-Games for 60 days.
* No new events have been created in the group for 60 days.

If either one changes, the clock doesn't start.

## What Happens and When

| After this long inactive | What happens |
| - | - |
| 60 days | The Organizer gets an email and a notification asking them to keep the group active. |
| 90 days | If the group has other members, the Organizer role is offered to them: Co-Organizers first, then everyone. The Organizer becomes a regular member. If the Organizer is the group's only member, a 30-day countdown to deletion starts instead. |
| 120 days | If nobody has accepted the role, or a solo Organizer still hasn't signed in, the group is deleted. |

[Stepping Down and Taking Over as Organizer](https://help.wr-games.com/groups/leadership-transfers.md) explains how members accept or decline the offer.

## How to Keep Your Group

Sign in to WR-Games. What that does depends on how far along the group is:

| When you sign in | What happens |
| - | - |
| After the warning, before day 90 | The warning is cleared and the clock starts over. |
| Any time before deletion, if you're the only member | The countdown stops and your group is safe. |
| After the role has been offered to your members | Signing in doesn't stop it. Someone has to accept the role, or the group is deleted at day 120. |

Once the offer opens to all members, you can accept the role yourself like any other member.

## What Deletion Removes

> [!CAUTION]
>
> Deleting a group is permanent. Its members, events and all group data are removed and can't be restored. Before that happens, any upcoming events are canceled and everyone who RSVP'd gets an email.

## Groups With No Organizer

A group can end up with no Organizer, for example when an Organizer steps down and nobody accepts in time. When that happens, every member gets a notification that the group needs a new Organizer. Any member can accept the role from the group's page within 30 days. If nobody does, the group is deleted.

This 30-day window applies whatever plan the previous Organizer was on.
